Coordinator’s Responsibilities
(1)
Inform the speakers involved in your
program so they know about the other programs that OLLI is offering
during their “term.”
(Usually this packet is sent out by Cheryl’s office, but it’s good
for you to check to ensure that it’s been done.)
(2)
Make sure that any specific
arrangements are taken care of well in advance.
(It’s never too early!)
The most obvious needs are probably for audio-visual
equipment and /or special arrangements of the chairs, tables, etc.
in the room.
If a lecturer or discussion
leader who is speaking at Westminster Village needs for us to
provide anything, call Michelle Bennett (237-2336) who will make
arrangements with Jan Cockrell.
(3)
Insofar as humanly possible, check
any special equipment to see if it works – or have someone else do
it for you! Including
microphones since it really does help with hearing (especially if
there is noise in the hall outside the Community Center).
(4)
If you are coordinating a Course or
Special Event, please
check with Michelle the day of the deadline for your program (or a
week before if it has no deadline) to see how many people have
registered, get a list of participants,
and call the speaker with
that information.
(5)
If you are coordinating a Lecture,
call the speaker a week in advance to remind them of the program!
(6)
Because we have trouble with people
signing up and not showing up for Courses and Special Events you
might also want to call the participants to remind them.
But that might be
extremely time-consuming, so it’s up to you.
(7)
Introduce the speaker.
Of course, you can and should be brief, but please don’t
assume that your speaker “needs no introduction”.
We have outstanding speakers, and it’s a good idea to remind
the audience of just how totally awesome she/he is.
(8)
Thank the speaker in some formal way.
No, you don’t have to send flowers (unless you really want
to), but please provide a note or phone call or whatever seems
appropriate to you.
